5 Essential Tips to Make Microsoft 365 Purr on Your Mac
It used to be a golden rule in business IT: if the company runs on Microsoft, you have to buy a Windows PC.
Thankfully, those days are long gone. Microsoft has invested heavily in their Apple software, and today, using Microsoft 365 on a MacBook or iMac is a brilliant, seamless experience?if you know how to set it up correctly.
If you are a devoted Mac user trying to navigate a Microsoft-powered workplace, you don't have to suffer through clunky web browsers or confusing file systems. Here are five simple, jargon-free tips to make Microsoft 365 purr on your Mac.

💿 1. Stop Your Hard Drive Filling Up (The OneDrive 'Files On-Demand' Trick)
Macs are famous for their speed, but they are also famous for having expensive, small hard drives. If your company has a massive SharePoint site, you absolutely do not want all those files downloading to your laptop.
The Fix: Make sure OneDrive's 'Files On-Demand' feature is turned on.
Look for the little cloud icon near your clock at the top right of your screen. Click it, go to the gear icon (Settings), and find the 'Files On-Demand' option. Make sure it's enabled.
Now, when you open Finder, you will see all your company files, but they will have a little cloud icon next to them. This means they are stored safely online and take up zero space on your Mac.
They only download when you actually double-click to open them. When you are finished, right-click the file and select 'Free Up Space' to send it back to the cloud.
🌐 2. Ditch the Web Browser and Get the 'Real' Apps
Many Mac users log into office.com through Safari or Chrome to read emails or edit Word documents. While the web versions are okay in a pinch, they are slower and miss out on the best features.
The Fix: Download the native Mac apps.
You don't need to buy a special 'Office for Mac' disc anymore. Just open the App Store on your Mac, search for Microsoft Word, Excel, Teams, and OneDrive, and hit download. Once they open, just sign in with your work email address. Because Microsoft rebuilt these apps specifically for modern Apple Silicon (M1/M2/M3) chips, they run incredibly fast and won't drain your battery.
💌3. Flick the Switch to the 'New Outlook'
If you are using the Outlook app on your Mac and it looks a bit old-fashioned, you are probably using the legacy version.
The Fix: Look at the very top right corner of your Outlook window. You should see a small toggle switch that says 'New Outlook'. Flick it on.
The app will restart, and you will be greeted with a much cleaner, modern interface that syncs faster and searches much better. It looks and feels right at home on a Mac.
🗂️4. Save Directly to SharePoint (No Drag-and-Drop Required)
A common mistake Mac users make is saving a Word document to their local 'Desktop' and then trying to drag it into an internet browser to upload it to the company SharePoint. This is a recipe for losing files or creating confusing duplicates.
The Fix: Save it right the first time.
When you hit 'Save' in Word or Excel on your Mac, click the 'Online Locations' button in the bottom left of the save box. This will connect directly to your company's SharePoint sites and your personal work OneDrive. Save it directly there. It ensures your work is backed up instantly and your colleagues can access it immediately.
😏 5. Master the 'Command' Key Translation
If you are moving between a Windows PC and a Mac, the keyboard shortcuts can drive you mad.
The Fix: It is actually very simple once you build the muscle memory. In almost every Microsoft app, whatever you used to do with the 'Ctrl' key on Windows, you now do with the 'Command' (?) key on your Mac.
Copy: Ctrl+C becomes Command+C
Paste: Ctrl+V becomes Command+V
*Save: Ctrl+S becomes Command+S
