At I.T. Savvy, we’re all about helping you get the most out of the tech you already own. You don’t need to buy expensive "cleaner" apps or fancy productivity software to make your Mac run like a dream. In fact, some of the most powerful tools are already sitting right there on your keyboard or in your menus, just waiting to be discovered.

Here are 12 free, practical tips that every Mac user should know to work faster, stay organised, and keep their computer happy—without spending a cent.

🔦1. Use Spotlight as a "Super-Search" Tool

🩳 Shortcut: `Command + Space`

Most people use Spotlight to find a lost file, but it’s much more than a search bar. Try typing these directly into the search box:

  • Quick Maths: Type `15% of 120` or `24 * 7` for an instant answer.

  • Currency Conversion: Type `100 USD to AUD` to see the current exchange rate.

  • Weather: Type `Weather in Brisbane` for a quick forecast.

  • Launch Apps: It’s often faster than clicking through your Dock!

🤳2. Take Screenshots Like a Pro

Don’t just capture the whole screen and crop it later. Use these specific shortcuts:

  • `Shift + Command + 4`: Turns your cursor into a crosshair so you can select a specific area.

  • `Shift + Command + 4`, then Space: Hover over a specific window (like a web browser or a folder) and click to capture just that window with a nice clean shadow.

  • Pro Tip: Press `Shift + Command + 5` and click Options to change where your screenshots are saved (e.g., to a dedicated "Screenshots" folder) so your Desktop stays tidy.

📂 3. Use Quick Look to Preview Files Instantly

🩳 Shortcut: Select a file and press the Space bar.

This is one of the best "hidden" features of macOS. You can view PDFs, photos, and even play videos without ever opening an app.

  • The Bonus: You can even do basic edits, like rotating an image or trimming a video, directly inside the preview window.

👽4. Free Up Space with Built-In Tools

Go to: `Apple Menu > System Settings > General > Storage`

Before you pay for "Mac Cleaner" software, check here first. macOS has built-in tools to:

  • Optimise Storage: Automatically move old files to iCloud when space is low.

  • Empty Bin Automatically: A "set and forget" way to keep things clean.

  • Review Large Files: Easily find and delete those giant downloads you forgot about.

🪓 5. Use Split View for Easy Multitasking

If you’re constantly clicking between an email and a spreadsheet, this is for you.

  • How to do it: Hover your mouse over the **green full-screen button** in the top-left of any window. Choose Tile Window to Left/Right of Screen.

  • To Exit:** Just press the `Esc` key or click the green button again.

🔥6. Use Hot Corners to Speed Up Daily Tasks

Hot Corners turn the four corners of your screen into "magic buttons."

  • Setup: `System Settings > Desktop & Dock > Hot Corners`.

  • I.T. Savvy Suggestion: Set the bottom-left corner to Desktop (to quickly clear everything away) and the top-right to Mission Control (to see all open windows).

🗣️ 7. Dictation: Talk Instead of Typing

🩳 Shortcut: Press the Microphone key (usually `F5`) or double-tap the `Control` key.

If you have a long email to write and your fingers are tired, just say it out loud. Your Mac is surprisingly good at transcribing your voice into text in real-time.

😣 8. Focus Modes: Get Some Peace and Quiet

Where to find it: Click the Control Centre icon (the two small sliders) in the top-right menu bar and select Focus.

Use "Do Not Disturb" or create a custom "Work" mode to silence those pings and dings while you’re trying to concentrate. You can even set it to turn on automatically during your work hours.

🗂️ 9. Use AirDrop for Instant Sharing

Stop emailing files to yourself! If you have an iPhone or another Mac nearby, AirDrop is the fastest, safest way to move photos and documents.

  • How: Right-click any file, choose Share, then AirDrop.

🤨 10. Use the Built-In Emoji & Symbol Picker

🩳 Shortcut: `Control + Command + Space`

Want to add a bit of personality to an email or name a folder with an icon? This shortcut opens a full library of emojis and symbols anywhere you can type.

🔮 11. Preview: The PDF Powerhouse

Most people think they need to pay for Adobe Acrobat to handle PDFs. You don’t! The built-in Preview app can:

  • Sign documents: Use your trackpad or iPhone to create a digital signature.

  • Merge PDFs: Just drag and drop one PDF file into the sidebar of another.

  • Protect: Add a password to sensitive documents.

⛑️ 12. The "Friday Afternoon" Maintenance Habit

You don’t need "cleaner" apps—in fact, we usually recommend avoiding them! Instead, keep your Mac fast with these three simple habits:

1. Restart once a week: We call it the "Friday Restart." It clears out the digital cobwebs and keeps things snappy.

2. Close unused tabs: If you have 50 tabs open in Chrome or Safari, your Mac is working overtime.

3. Clear your Downloads folder: It’s the #1 place where digital clutter lives.
